UR Office Staff is a brand of UR Sales Team LLC (“UR Office Staff,” “we,” “us,” or “our”). UR Office Staff respects your privacy. This Privacy Policy explains what information we collect, how we use it, how we share it, and the choices you have. By using our website at urofficestaff.com, our subscriber application at app.urofficestaff.com, or any of our services, you agree to this Privacy Policy.

  1. Who We Are

UR Office Staff is a brand of UR Sales Team LLC, a multi-tenant software-as-a-service platform that provides AI-powered receptionist services to professional and small-business clients. Each business subscriber is assigned a dedicated phone number and email address. Our AI answers calls, records and transcribes voicemails, replies to emails, and sends activity notifications to the business owner.

  1. Information We Collect

Business Subscriber Information. When you sign up, we collect your business name, owner name, mobile phone number, email address, service area, services offered, pricing notes, business hours, and any custom FAQs or voicemail greetings you provide.

Payment Information. Credit card details are collected and processed directly by Stripe, our payment processor. We do not see or store full card numbers on our servers. We retain only a Stripe customer identifier and subscription identifier.

Communications Routed Through the Service. When customers of our subscribers call or email the dedicated phone number or email address assigned to a subscriber, we receive and store the caller’s phone number, caller ID name where available, voicemail audio, voicemail transcriptions, inbound email content, and AI-generated reply content. This information is logged to the subscriber’s account so the subscriber can review activity.

Consent Records. When you opt in to SMS notifications, we record the date, time, IP address, and the exact consent language presented at the moment of opt-in.

Technical Information. We collect server logs including IP addresses, browser type, and pages accessed, for security, troubleshooting, and fraud prevention.

  1. How We Use Information

We use the information we collect to:

Operate the UR Office Staff service, including provisioning phone numbers, routing calls and emails, and generating AI replies.

Send operational SMS notifications to subscribers about inbound calls, voicemails, and emails received at their dedicated business line.

Send conversational SMS replies, generated by AI, from a subscriber’s dedicated number to end customers who have texted or called that number.

Process payments and manage subscriptions.

Provide support, respond to inquiries, and send service-related notices.

Improve, maintain, and secure the service.

Comply with legal obligations.

  1. SMS Program and Mobile Information Privacy

This section describes how UR Office Staff handles mobile phone numbers and SMS-related data. This section governs in the event of any conflict with other provisions of this Privacy Policy.

No Sale or Sharing for Marketing. UR Office Staff does not sell, rent, lease, or share mobile phone numbers, SMS opt-in data, or any text messaging originator opt-in information with third parties or affiliates for marketing or promotional purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes under any circumstances.

Consent Data Is Not Shared. Information collected as part of the SMS consent process — including your phone number, the timestamp of consent, the IP address from which consent was given, and the consent language you agreed to — is used solely to operate the SMS program and to demonstrate compliance with applicable law. This information is not shared with any third party for any purpose other than the limited subprocessor purposes described below.

Subprocessors. We share mobile phone numbers and message content only with the service providers strictly necessary to deliver the SMS program. These subprocessors act on our behalf under contractual data protection obligations and may not use the information for their own purposes:

Twilio, Inc. — for phone number provisioning, SMS delivery, and message routing.

These subprocessors are not “third parties” for marketing purposes and are prohibited from using mobile information for marketing or from sharing it onward.

All other categories of information sharing described elsewhere in this Privacy Policy specifically exclude text messaging originator opt-in data and consent. This information will not be shared with any third parties.

Opt-In. You opt in to operational SMS notifications by checking the SMS consent box during signup at https://urofficestaff.com/signup.php. The consent box clearly identifies UR Office Staff as the sender, describes the messages you will receive, states that message and data rates may apply, states the typical message frequency (1 to 10 messages per day), and provides instructions for HELP and STOP.

Opt-Out. You may opt out at any time by replying STOP to any SMS message from UR Office Staff. After opting out, you will receive one final confirmation message and no further SMS messages from the program. You may also opt out by emailing [email protected].

Help. Reply HELP to any message for assistance, or contact [email protected].

Message and Data Rates. Message and data rates may apply. Check with your mobile carrier for details.

Message Frequency. Message frequency varies with your business activity, typically between 1 and 10 messages per day.

  1. How We Share Other Information

Outside of the SMS-specific protections in Section 4 above, we share other categories of information only as follows. Mobile information and SMS opt-in data are excluded from all sharing described in this section.

We do not sell your personal information. We do not share your information with third parties for their own marketing purposes.

We share information with the following service providers, who act on our behalf and are contractually required to protect your data:

Twilio — for phone number provisioning, call routing, voicemail recording, transcription, and SMS delivery.

SendGrid — for inbound email parsing and outbound email delivery.

Anthropic — for AI-generated reply content. Message content is processed to generate replies.

Stripe — for payment processing and subscription management.

Linode (Akamai) — for server hosting.

Cloudflare — for DNS and content delivery.

We may also disclose information when required by law, to enforce our Terms, to protect the rights, property, or safety of UR Office Staff, our users, or others, or in connection with a merger, acquisition, or sale of assets. In any such event, mobile information and SMS opt-in data will continue to be protected in accordance with Section 4 above.

  1. Data Retention

We retain subscriber account information for as long as your account is active and for a reasonable period afterward for recordkeeping, dispute resolution, and legal compliance. Call recordings, voicemail audio, transcriptions, and email content are retained for the duration of your subscription and may be deleted upon written request to [email protected], except where we are required to retain them by law. SMS consent records are retained for as long as required by applicable law and carrier requirements.

  1. Security

We use industry-standard safeguards including HTTPS encryption, access controls, isolated per-domain PHP pools, and secure credential storage outside the public web root. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

  1. Your Rights

Depending on where you live, you may have the right to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To exercise any of these rights, contact us at [email protected]. We will respond within the time frame required by applicable law.

You may unsubscribe from marketing emails by following the unsubscribe link in any such message. Operational notifications related to your account may continue for as long as your account is active. You may opt out of SMS notifications at any time by replying STOP.

  1. Children

UR Office Staff is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will delete it.

  1. International Users

UR Office Staff is operated from the United States. If you access the service from outside the United States, your information will be transferred to, stored, and processed in the United States.

  1. Connected Calendars (Google Calendar, Microsoft 365/Outlook, Zoho Calendar, and Calendar Links)

You may optionally connect one or more calendars to your account so that your AI receptionist can tell customers whether a requested date or time is open or already booked. Connecting a calendar is entirely optional, and the service works without it.

What we access. When you connect Google Calendar, we request the calendar.readonly permission (“See and download any calendar you can access using your Google Calendar”). When you connect Microsoft 365/Outlook or Zoho Calendar, we request the equivalent read-only calendar permission. When you add a calendar link (an .ics or webcal address from Proton, iCloud, Fastmail, or another provider), we read the events published at that link. In every case access is read-only: we never create, edit, move, or delete events on your calendar, and we never send invitations on your behalf.

How we use it. We use calendar data for one purpose only: to determine whether you are free or busy during a date range a customer asks about. When a customer asks your AI receptionist about availability by email, text message, or phone, we look up the start and end times of your events for that range at that moment and produce a simple open/busy summary (for example, “Saturday: busy all day; Sunday: open”). Only that open/busy summary is provided to our AI language model provider so it can answer the customer. Event titles, descriptions, locations, attendees, and notes are never shown to customers, never included in the summary sent to the AI provider, and never used for advertising, profiling, or any other purpose.

What we store. We store the credentials needed to read your calendar (OAuth access and refresh tokens, or your calendar link URL) encrypted at rest on our servers. We do not keep a copy of your calendar or your events. Availability is fetched on demand each time it is needed; data from calendar links may be cached for up to ten minutes to reduce repeated downloads. Open/busy summaries may appear in your own interaction logs as part of the conversation transcript.

Sharing. We do not sell, rent, or share your calendar data with third parties. The open/busy summary described above is transmitted to our AI language model provider solely to generate the customer’s reply, and to our email and telephony providers only as part of the reply itself. Calendar credentials are never shared with anyone.

Your control. You can disconnect any calendar at any time from the Calendar page of your client dashboard. Disconnecting immediately and permanently deletes the stored credentials or link for that calendar, and your receptionist will stop answering availability questions from it. You can also revoke our access directly in your Google Account permissions (https://myaccount.google.com/permissions), your Microsoft account, or your Zoho account. Closing your account deletes all stored calendar credentials.

Google API Services User Data Policy. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only use Google user data to provide and improve the availability feature described above; we do not transfer it to others except as necessary to provide that feature, to comply with applicable law, or as part of a merger or acquisition with notice to you; we do not use it for advertising; and we do not allow humans to read it except with your consent, for security purposes, to comply with applicable law, or for internal operations where the data has been aggregated and anonymized.

  1. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the Effective Date above. For material changes, we will provide additional notice, such as by email or a prominent notice on the website. Your continued use of the service after the change constitutes acceptance of the revised policy.
